Position Title: Events and General Office Assistant
Status: Hourly (Full-time: 40 hours/week)
Location: National Fatherhood Initiative Headquarters (Gaithersburg, MD)
Hours: 8:30 a.m. to 5:00 p.m.; Monday - Friday
Travel: Approximately 5% of the time
General Description:
Under the supervision of the Director of Events and Logistics, the Events/Office Assistant supports all NFI trainings, exhibits, and special events as well as offering assistance on general office responsibilities.
Primary Responsibilities:
- Support trainings, exhibits, and all other special events by managing the ordering, shipping, and receiving of items to be received on site in a timely manner
- Manage the registration process for trainings and other NFI events by corresponding with potential registrants, and maintaining/updating registrations in NFI's database
- Managing the necessary follow-up from exhibits, trainings, and special events when needed
- Support NFI's web-based trainings (i.e, Webinars)
- Coding UPS invoices for Accounting
- Responsible for the tidiness of the events closets
- Assist in coordination of Fatherhood Awards Gala including: working with awardees, processing tickets, sending invitations, etc.
- Provide on-site coordination for small DC-area events
- Manage events supplies
- Additional tasks as assigned
Secondary Responsibilities:
- Ordering office supplies
- Managing birthday calendar and issuing birthday cards to staff
- Planning office parties (new staff breakfast, birthday parties, the occasional office lunch)
- Answering the main line when needed and managing the main NFI voicemail
- Monitoring quantity of NFI letterhead/envelopes
- Managing the office supply cabinet
- Responsible with other staff for the tidiness of the common areas (copier room, kitchen, reception area)
- Provide administrative support to program areas as needed
Minimum Qualifications:
- Bachelor's degree from an accredited four-year college or university
- Proficient in the use of MS Word, Excel, Access, and Outlook programs
- Skilled communicator
- Deadline driven
- Detailed oriented
- Independent worker
- Excellent multi-tasking abilities
- Strong organization skills
- Good relational skills
